Recruiter approval process

Learn to how to get approved to recruit for certain roles on Paraform

Companies use us as a primary source of external recruiting support and part of the value prop is to help them procure the best recruiters to fill their open roles. This inherently means we act as a trust layer between a company's hiring needs and the recruiters to find candidates to fill those roles.

Our product is a closed marketplace, meaning it takes approvals from either our end or the hiring manager's end to start recruiting for a role.


How Approvals Work

On your Paraform home page you will see that all roles require an application to recruit. Approvals to your applications happen in two ways:

1. Approved through Paraform (for New and Standard recruiters)

2. Approved by the Hiring Manager (only for Preferred recruiters)


Approved through Paraform

As a New or Standard recruiter, you're building a track record on Paraform so that you can obtain 'Preferred' recruiter status where your Paraform profile is surfaced to hiring managers.

That being said, we act as the initial screen to ensure companies work with only the best recruiters for their roles.

Applications to recruit require the following:

  • Your updated and connected LinkedIn
  • A brief one-liner describing why you're a good fit for the role
  • How many hours you intend on recruiting for the role
  • How much relevant experience /10 do you have on this role
  • Do you have a prepared candidate for the role

What we look for

We approve you based on several factors

  • Overall recruiter rating
  • Average candidate rating
    • All your past candidate submissions are rated by hiring managers /4
    • For new recruiters with less submissions we look for an average of at least 3/4
  • Interview ratio
    • Out of your total subsmissions, what % get interviewed
  • Your recruiting history and background
  • How well the role is going
    • We won't add you if we feel the role is full or the hiring manager is not engaged
  • Any prepared candidates for this role*

*This is key, because even without a relevant background or the best track record on Paraform, if you have a candidate that is the right fit for the role, the chances of you getting approved is significantly higher.

Approval process statuses

There are several statuses you can be in during the approval process. Review the list below to see what each status means.

  • Apply now: You haven’t applied to recruit for this role but can get started by applying on the role page.
  • Pending: You’ve applied to recruit for this role and are waiting for the client to approve you.
  • Approved: You’ve been approved to recruit for this role and can start recruiting for the role.
  • Not approved: We have passed on you to recruit for this role. This could be for a number of reasons such as your recruiter rating, recruiting background, or just that the role has too many recruiters working on it (we wouldn’t want you to waste your time!)
  • Withdrawn: You’ve withdrawn your application to recruit for this role or you've removed yourself from the role.
  • Rescinded: The client has rescinded your approval to recruit for this role after you were approved.

Pending approval limit

You can only apply to a maximum of 3 active roles at a time. We implemented this to ensure that the roles you intend to recruit for are actually meaningful to you and we actually know you’re serious if you choose to work with them.


If you are at the pending approval limit and want to recruit for more roles, you can wait for your pending approvals to be processed, or you can also withdraw your application to apply for other roles instead.


You can withdraw your role application by going to the client dashboard, clicking on pending clients, and clicking on the status cell which will give you an option to withdraw.


Role limit

You can only be approved to recruit for a maximum of 10 roles at a time. We implemented this to ensure that you’re not overextending yourself and can actually provide a high quality recruiting service to the clients you’re working with.
